How does a buying club or food co-op pool household pre-orders to split wholesale cases fairly?
In closed testing, Parmenas runs pre-order cycles where member households claim whole cases or partial splits (such as 5 lbs from a 25-lb sack of rolled oats), locks filled cases when distributor minimums are reached, prints household pack-out checklists, and adjusts final weights and shorted items on delivery day.

Tracking vendor purchase orders from sent to received
During the weekly buying-club cycle, member households pool their pre-orders to meet distributor case minimums. When the order window closes, Parmenas compiles the supplier purchase orders for each vendor, such as Prairie Pantry Dry Goods, Riverbend Valley Farm, Riverside Hearth Bakery, and Heartland Dairy Cooperative.
As deliveries arrive, the coordinator records what was received on each purchase order (marking orders Sent, Partly received, or Received) and compares ordered cost against received cost before household pickup begins.
